Appointment Co-Ordinator

We are looking for an organized and customer oriented Appointment Co-Ordinator to join our team. As the Business Development Co-Ordinator, you will support the busy automotive service teams at all Drive Muskoka dealerships, by assisting customers with their vehicle service requirements whilst providing an exceptional customer service experience. The main focus of this role is Customer Retention + Business Development via outbound calls to book service appointments for our various dealerships as well as pro-active business development initiatives.

 

Role and Responsibilities

 

·         Responsible for scheduling service appointment for Honda, Dodge and Hyundai customers

·         Maintain dealership-client relationships through emails and phone calls reminding clients of services due in a courteous and professional manner

·         Confirm service appointments and confirm servicing needs for Advisors by taking note of issues, update any changes, confirming time, date and any transportation needs with the client.

·         Advise clients of vehicle needs and recommendations

·         Perform daily customer service satisfaction follow up calls and messages

·         Outbound calling to existing customers for service reminders

·         Contact customers when special order parts (SOP) arrive

·         Maintaining dealer management system for Do Not Contact list

·         Respond to emails within established timeframes

·         Maintain/produce daily reports of incoming/outgoing call counts

·         Act as back up for Honda reception

·         Other duties as assigned

 

Job Requirements

·         Excellent communication skills with a demonstrated ability to speak comfortably with people in a variety of roles and levels

·         Exceptional and professional customer service skills

·         Demonstrated proficiency with MS Office (MS Word, MS Excel, and MS Outlook) as well as general computer skills (i.e. data entry)

·         Strong attention to detail

·         Initiative and enthusiasm to get things done

·         Demonstrated ability to work efficiently under pressure; dealing with changes and interruptions while maintaining strict deadlines

 

Preferred Skills

 

·         Experience with PBS is an asset

·         Experience working with a multi-line switchboard is an asset

·         Excel is an asset
